BEFORE THE CITY COUNCIL <br /> • OF THE CITY OF BATESVILLE, ARKANSAS <br /> RESOLUTION NO. r `� I <br /> A RESOLUTION ESTABLISHING A RECORDS RETENTION POLICY FOR <br /> THE BATESVILLE EMERGENCY DISPATCH OFFICE REGARDING <br /> INCIDENT REPORTS AND ACCIDENT REPORTS AND FOR OTHER <br /> PURPOSES. <br /> WHEREAS, the City of Batesville Emergency Dispatch Department is <br /> charged with responsibility of keeping records of accident reports, incident reports <br /> and other records related to law enforcement within Independence County; and <br /> WHEREAS, the volume of paper required to maintain these records has <br /> caused tremendous problems with the storage space available; and <br /> WHEREAS, there is a great need to establish a records retention policy <br /> regarding the length of time accident reports and incident reports should be <br /> • <br /> maintained by the Department; now <br /> BE IT THEREFORE RESOLVED AS FOLLOWS: <br /> 1. Accident reports shall be maintained by the Batesville <br /> Emergency Dispatch Office for a period of five (5) years. Incident <br /> reports which do not result in criminal charges shall be maintained <br /> for a period of five (5) years. <br /> 2. The Director of the Dispatch Department at the end of each <br /> calendar year will make an inventory of those incident and accident <br /> reports that are more than five (5) years old, and will dispose of those <br /> records. <br />
