The city email system shall not to be used for the creation or distribution of any disruptive or offensive messages, <br /> including offensive comments about race,gender,disabilities,age,sexual orientation, pornography,religious <br /> beliefs and practice, political beliefs,or national origin. Employees who receive any emails with this content from <br /> any employee should report the matter to Human Resources immediately. Users are prohibited from automatically <br /> forwarding email to a third-party email system. Individual messages which are forwarded by the user must not <br /> contain confidential or above information. <br /> Users are prohibited from using third-party email systems and storage servers such as Google,Yahoo,and MSN <br /> Hotmail etc.to conduct business,to create or memorialize any binding transactions,or to store or retain email on <br /> behalf of.Such communications and transactions should be conducted through proper channels using city- <br /> approved documentation. Using a reasonable amount of city resources for personal emails is acceptable,but non- <br /> work-related email shall be saved in a separate location from work-related email.Sending chain letters or joke <br /> emails from a city email account is prohibited.City employees shall have no expectation of privacy in anything they <br /> store,send,or receive on the city's email system.The City of Batesville may monitor messages without prior notice <br /> but is not obliged to monitor email messages. <br /> Any City of Batesville employee found to have violated this policy may be subject to disciplinary action,up to and <br /> including termination of employment. <br /> Information Technology Data Policy <br /> City of Batesville data falls under two categories: Sensitive and non-sensitive. <br /> Per the Employee Confidentiality and Compliance Policy,Confidential and/or proprietary information is secret, <br /> valuable,expensive,and/or easily replicated. Common examples of confidential and/or proprietary information <br /> are: <br /> • CJIS information <br /> • Unpublished financial information <br /> • Data of customers, partners,and/or vendors including bills,invoices,quotes,and/or receipts <br /> • Patents,formulas,or new technologies <br /> • Customer lists(existing and prospective) <br /> • Data entrusted to the City of Batesville by external parties <br /> • Pricing,quotes, marketing,and/or other undisclosed strategies <br /> • Documents and processes explicitly marked as confidential <br /> • Unpublished goals,forecasts,and/or initiatives marked as confidential <br /> Employees may have various levels of authorized access to confidential and/or proprietary information. <br /> Sensitive data is any data that could be expressed as confidential and/or proprietary information. <br /> Non-sensitive is any other data that can be made available publicly. <br /> Information Technology Encryption Policy: <br /> All devices at the City of Batesville that have a storage medium such as hard drive and have the ability to remove <br /> such storage medium shall be encrypted. The encryption will be based on levels and responsibility. <br />
